Self-Hosted vs Cloud CRM: Which One Should You Choose?
If you're evaluating CRM software for a growing team, you'll eventually run into a fork in the road: do you sign up for a cloud/SaaS CRM that charges a monthly subscription per user, or do you run a self-hosted CRM on your own server? Both are valid choices, but they suit very different situations.
What "self-hosted" actually means
A self-hosted CRM is software you deploy on infrastructure you control -- a VPS, a cloud server, or your own hardware -- rather than software someone else runs for you. You typically pay once for the software (or nothing, for open/source-available options) and separately for the server, domain and any third-party services you plug in, like a database or email provider.
Cost over time
Cloud CRMs bill per user, per month, forever. For a 5-person sales team, a mid-tier SaaS CRM can easily cross ₹15,000-₹30,000 a month once you add integrations and higher-tier plans. A self-hosted CRM purchased once, running on a ₹500-1500/month VPS, tends to be dramatically cheaper over a 2-3 year horizon -- the trade-off is you carry the operational responsibility instead of a vendor.
Data ownership and control
With a cloud CRM, your customer data lives on the vendor's infrastructure under their terms. With self-hosting, your leads, deals, contacts and financial data live in a database you control -- useful if you have compliance requirements, want to avoid vendor lock-in, or simply don't want a third party able to access or export your business data.
Customization
Most cloud CRMs let you configure fields and workflows within limits set by the vendor. A self-hosted, source-available platform lets you actually modify the underlying code -- rename modules, change business logic, add fields that don't exist in the stock product -- because you have the source, not just an admin panel.
What you give up
Self-hosting isn't free of trade-offs. You (or someone you hire) are responsible for deployment, updates, backups and uptime, whereas a SaaS vendor handles all of that for you as part of the subscription. If your team has zero technical capacity and you'd rather never think about servers, a cloud CRM is the lower-friction choice.
